TOWNSHIP MAP BID PROPOSAL

We, the undersigned, agree to furnish the following services to Deerfield Township:

Provide printing services to produce a four-color, two-sided, 18” x 24” Deerfield Township Map. Listed below are details of the services required:

Vendor(s) may submit a bid for the following:

· Work with Public Relations Director and Township GIS Coordinator who will provide files

· Print a two-sided map with street directory, points of interest and other details as instructed by the Township in a design that will allow for the map to be mailed (allowing space for label if necessary)

· Provide total costs for printing 5,000 and 10,000 quantities on 70 lb. glossy stock

· Scan artwork (provided by Deerfield Township in jpeg or PDF format) and photos (provided by Deerfield Township in jpeg or PDF Format)

· Provide a minimum of 3 proofs to Deerfield Township, (both PDF and hard copies)

· Coordinate proofs with Director of Public Relations by deadlines outlined by Township once process has begun

· Deliver maps to either Deerfield Township Administration Office at 4900 Parkway Drive, Suite 150, Mason, Ohio 45040 OR

· Deliver maps to a mailing/addressing company in Greater Cincinnati designated by Deerfield Township

Additional bid packages can be picked up between 8 a.m. and 4:30 p.m. at the Township Administration office, 4900 Parkway Drive, Suite 150.

The deadline for bids to be received is 4:30 p.m. on Thursday, July 10, 2008. Bids will be opened and read at the above referenced address on July 11, 2008.

The Deerfield Township Board of Trustees reserves the right to accept the lowest and best bid, reject all bids, and waive any irregularities in the bids which do not impair the bidding process. The Trustees also reserve the right to conduct all necessary inquiries and investigation in determining the lowest and best responsible bidders.

Deerfield Township Trustees reserve the right to award the bid to the vendor who can best provide the services specified above. Deerfield Township Trustees also reserve the right to increase, decrease or cancel the publication with 14 days notice.
